Email templates allow you to guide how your Sales team positions content when sharing with customers and prospects. There are two types of email templates in KnowledgeTree.
- Default Email Template: This is the default email template presented to Sales reps when they share via email using KnowledgeTree.
Asset Specific Email Templates: The default email template can be overwritten with an asset specific email template that is presented to Sales reps that share that particular asset via email. You can enable Asset Specific Email Templates by checking the checkbox in the Template Settings card in the Settings area.
Default Email Template
To create your Default Email Template, log in to your KnowledgeTree account and go to Settings.
Scroll down and find the Email Template card. Here you can create a subject line and body for your default email template.
You can add Placeholders to your email template. These Placeholders will be replaced with specific information when the Sales rep shares content via email with customers and prospects.
- Asset Title: This will be replaced with the title of the asset being shared.
- KT Share Link: This will be replaced with the share link. This is important and required for the body of your email template. The share link is what customers and prospects will use to view the content being shared with them.
- Prospect First Name: This will be replaced with the first name of the Lead or Contact the Sales rep is sharing with.
Prospect Company: This will be replaced with prospect's Account Name when sharing with a Salesforce Contact, or the Company Name when sharing with a Salesforce Lead.
When you've created your default email template, click the Preview button to load that message in your default email client so you can get a sense of how the template will look.
When you're happy with the template, click Save.
Once saved, any shares conducted by your Sales team will use this default email template unless there's an Asset Specific Email Template for the asset they're sharing.
Asset Specific Email Templates
To create Asset Specific Email Templates you must first enable them. Instructions on doing so are at the top of this article.
Once enabled, creating an email template for an individual asset will replace the default template and will be presented to the Sales user when they share that asset. To create an asset specific email template for an asset go to the asset details page. You can do this by clicking the asset name.
Scroll down to the Email Template area for that asset. It will look very similar to the Default Email Template card in Settings.
Just like the Default Email Template, you have the same four Placeholders. As before you can Preview and Save asset specific templates just like the default email template. Once you Save an asset specific email template that template will be presented to Sales reps sharing that asset via email. If at anytime you want to ensure the asset goes back to using the default email template, click the Use Default Template link, then Save.
